    Current Business:

    President Report: Website update-we’re looking into using Diane Vollner’s services at $75/hour. She thinks it might make more sense to start it over again-wouldn’t need to pay Wordpress anymore which saves money. Squarespace is cheaper. 


    Elections happening tonight for next year’s Board


    Signs-Amy was getting in touch with AdPro-all signs look very similar, but Sandi isn’t sure if that’s what we want; Jessica suggested asking Deana Maynus if she could do something. AdPro signs would be around $375/each


    We received a thank you note from Sycamore HS for flowers we sent when their Athletic Director passed away


    Cheryl Sosa (Century Resources)- coming to general meeting to talk about fundraising


    Fundraising campaign-a new fieldhouse would cost 3.2 million dollars, or if we want to do an addition to weight room, it would be $700,000. If we do a pledge campaign, it can’t be called a fieldhouse fundraiser unless it’s being applied to a fieldhouse. When one high school is eventually built, a fieldhouse would be built (it’s included in the cost), but the current need is to update the existing weight room and expand now. So do we come up with a more general campaign? Phase 1 would include doubling the size of weight room along with bathrooms & concessions. We have money to use as a down payment for 700,000 loan. We first need to identify the biggest needs.


    Fundraising-Sandi was approached about a Bingo machine-Sandi & Matt spoke to someone previously about doing this but the start-up cost was too much. Hunter Hampton is knowledgeable & will pay the start up costs-he’d make money and so would we (first goes to wrestling & once they make what they need, we get the rest); non-profits can profit from them-it’s all legal and aboveboard; Rick Haynes has one and makes $200,000-300,000/year; the company is Lancaster Bingo; we would need a designated checking account for money to go in and out of; super easy for us-we just have to fill out paperwork & open the checking account; Hunter would talk to other bars about putting in more machines for us

    AD Report: Spring sports are wrapping up-tennis had great year-5th in GMC; Mikey Casagrande & Cade Ott broke the school doubles record with 18 wins


    Baseball-2 kids on all-league team, not great record, but a good year that we’ll build on


    Softball done-both baseball and softball lost in 1st round of tournament


    Track still going-2 probably going to state, Summer Swartwout tied the district record in 100m and set new 200m record


    Senior awards night held recently-good recognitions


    Youth camps start next week through the first couple weeks of summer 


    Kick-off party for year/Meet the Team night-August 6th-maybe do food trucks in upper lot-do something similar to community night with tables for spiritwear, boosters memberships, each team could have game/booth, etc.


    Concession Report: Discussed possibly switching to Zettle/Paypal because it’s cheaper than Square and adding $.50 flat fee to credit card purchases


    Alumni Report: awarded 9 century scholarships; Athletic Hall of Fame committee meeting May 30th


    Spirit Wear: Working on new line for next year


    Corporate Sponsorships: Murdock Orthodontics reached out to sponsor $500/year

    Colerain Boosters General Meeting – May 20, 2024

    Secretary Report – No report


    Treasurer Report – $183,00 in checking; $168,000 in money market; $279,853 total; private accounts around 70,000


    Executive Committee Report – Signs from AdPro for softball/baseball/soccer, etc-would be about $375 each ($1125 total)-motion was made to purchase and passed


    Membership- 172 members, $10,475; new year begins August 1st-when it gets closer we’re going to reexamine the different levels & new incentives


    Corporate Sponsorships – Murdock Orthodontics reached out to sponsor $500/year


    Concessions – Treasurer asked us to reevaluate food costs for next year; idea was presented to only get blue Gatorade, not red


    Special Events – the next Gala will be March 15, 2025 & the theme is Roaring 20s


    Alumni Report – Awarded 9 century scholarships; Athletic Hall of Fame committee meeting on May 30th

    Marching Band – Completed tryouts and now have a few more members; Pre-camp happening soon and band camp in July; Hosting invitational October


    Baseball – Record did not reflect how well they played; 6 seniors graduating so it’s a young team

    Girls Basketball – Finished elementary skills sessions-had a good turnout; MS & HS skills training happening; 10 girls were picked to go to Cedarville camp in June for 3 days


    Cheerleading – Tryouts are over-14 varsity, 12 JV, 5 freshman; practice starts June 3rd; recently wrapped up successful fundraiser


    Cross Country – Had a meeting for kids coming back; schedule is set for next season

    Football – Golf outing was yesterday-had a good turnout with 30 teams; 7v7 at Withrow soon; weight lifting is ramping up; fall pictures will be August 7th

    Orchestra – Had their final concert combined with NWHS; Miss Crawford is leaving but they hired someone new; will be performing at graduation

    President Report: Nominating Committee-President/VP/Treasurer/Secretary positions are uncontested; there are 7 trustee nominations for 6 spots so there will be an election


    Audit committee is meeting in August-Rebecca Ott will help Beth


    Purchased a grill and popcorn machine for baseball concessions-both had broken on the same night


    Thursday night-Community Night-Boosters are doing a fish pond

    Treasurer Report:  $287,428 in our account; $68,578 in private accts; around $356,007 ending balance


    Membership Report:  About 10-15 people donated to Boosters because of the Chatter mailing-we’re labeling it membership so they’re included in the email push to rejoin next year; we’re now at around 203 members


    Principal Report: lots of testing right now-it was supposed to start on Wednesday last week, but the state website didn’t work so it was pushed back to Thursday & Friday


    Back into testing in a couple weeks


    Busy with spring stuff- Open House on Thursday-food trucks, games, Denny/Greg will have Colerain memorabilia, art show, and Murals with a Mission-partnership with Reds Community Fund and PNC Bank-a local artist met with Hope Squad and Art Club to talk about what Colerain means to them & came up with a concept that the artist painted on a 9x15 ft. panel; did it in 3 days-biggest one they’ve done; might set it out Thursday, will be revealed Friday at pep assembly-Reds mascots will be there


    AD Report: spring sports are going!  Baseball record is close to .500 and heading in the right direction; Carter Sansone was voted Enquirer player of week & Colerain voted Enquirer team of week last week


    Softball had first win Sunday; Olivia Schaeffer pitched perfect game at Reds Academy


    Track meet home tomorrow-longest standing track meet in Cincinnati


    Girls soccer coach-interviewing; still need coach for girls golf also-it has been posted for many months


    Still getting emails/compliments about gala-next year’s event going for board approval tonight


    Concession Report: baseball/softball/soccer sign-Ad-Pro working on examples-should be around $400 each


    Baseball/softball concessions going well, but the freezer in football concessions is on the fritz-Matt will send a guy to reset it

     

    Alumni Report: received an email that 9 students have been selected for scholarships so Molly created a certificate and Greg will work with Kathy to get the checks to present to the recipients; Greg & Sandi will present at awards 


    Same for the four Boosters scholarships-Morgan will confirm that parents are Boosters members; awards ceremony is May 2nd 


    All-century teams have been published-mostly good responses received; 1,064 former athletes recognized across 23 sports teams


    May-Hall of Fame nominating committee will meet to review & elect candidates; the induction ceremony will be at the first home football game


    Spirit Wear: meeting tomorrow night to plan for next year and come up with new designs; Sandi mentioned possibly having an end of the year blowout sale


    We need a sign for Cardinal Corner, but a hanging sign might block the cameras; other ideas-cardinal feet on floor with permanent vinyl on cricket, floor rug, disco ball light, red light turned on when open, or neon sign

    Old Business:  Website-Jessica reached out to other Boosters leaders at other schools but haven’t heard back yet; she contacted Market Fresh and they will send Jessica and Sandi a proposal-hosting is $15, with maintenance-$100/month; includes daily backups & monitoring, weekly audit, one hour editing per month but would contact if needed more time, monthly reporting-usage/visits. We will revisit next month


    Colerain Youth Football-Wayne & Chanda resigned; Brandon Crooks is now president; Carrie Davis and Barrell filed paperwork to reopen Little Cards; CYF & Little Cards are meeting to discuss joining together

    Softball – Fabulous first win yesterday at Reds Academy-beat Middletown-run ruled in 6th inning; Olivia Schaefer pitched perfect game & had an in-park home run

    -Best of the West-came in 3rd out of 8 teams; Zach Booker got 2nd; Cade Ott & Mikey Casagrande are undefeated-won Best of the West this weekend


    -One of the net cranks is broken-the net keeps drooping-asked for help from Boosters; Sandi needs an estimate from a couple places first


    Girls Tennis – conditioning and getting ready for next year; said a crank was just replaced during girls’ season (Mr. Richter bought it himself)

    Current Business:

    President Report: Putting together a nominating committee & audit committee-Sandi reached out to a few people to be on the nominating committee (Marla Banks, Stephanie Walker, Missy Craig); Beth & others can be on the audit committee-anyone who’s not a check signer & a boosters member can be on the committee; needs to get done by end of fiscal year


    Website-Vine Strategies has been difficult to work with and not very helpful, $650 was paid to update website/get rid of old photos/give Boosters a landing page with tabs for membership, etc but this hasn’t been done. When they finally responded they said we hadn’t paid (but we hadn’t been billed) and they said they’d done the work but clearly haven’t. Sandi asked to either return money or get the work done. We currently pay $250/month for maintenance & the last time we paid was October. Some other schools create own website and run it (but it may fall under the district umbrella & our district won’t do that for us); Harrison uses Membership Toolkit; Jessica will look into other options besides vine Strategies


    Signs for sports (like the new tennis sign)-soccer, softball, baseball, cc, track need new signs; Amy will talk with Ad-Pro about drafting new signs for soccer, baseball, and softball


    Youth Football-sent letter to Colerain Youth Football and released their funds so we are no longer in business with a group that’s not considered an extracurricular (as we never should have been); now 3 youth football groups want to use our facilities/concessions and be a part of us-Mighty Knights (trying to become Mighty Cardinals), Little Cards, & Colerain YF-our plan is to deny all 3

    The Clippards commented at the gala how much they love and appreciate when we do the athlete state send-offs

    Alumni Report: Chatter mailing-3400 pieces went out; cost around $8000; we recovered 25% of costs in donations, but had great feedback from it


    Suggestion was made to find people to sponsor the mailing in future

    Corporate Sponsorships: now might be a good time to gather new sponsors


    Special Events Report: Gala-$14,000 cash deposit today; Venmo/Paypal-$15,000; Eventbrite-$13,114 so far, expecting another $3291, total deposits $16,405.01

    Colerain Boosters General Meeting – March 18, 2024

    Secretary Report – No report


    Treasurer Report – Took in lots of money at gala; no final total yet


    Executive Committee Report – Nominating committee-in March of each year we elect a committee to review nominations and make recommendations for executive committee members; nominations announced at April 15th meeting, vote takes place in May; Stephanie Walker & Marla Banks volunteered to be on the committee


    Auditing committee-looks at books for past fiscal year (Aug 1-July 31); Rebecca Ott volunteered for the committee


    Website-current web host has been unresponsive and difficult to work with so we’re looking for a new web host-Sandi asked for recommendations


    New signs-Sandi proposed that we get new signs for baseball, softball, soccer; getting in touch with Ad Pro to see what they can come up with 


    Membership- 153 members, $9800 this year, will promote membership at baseball & softball games with signs & QR codes


    Corporate Sponsorships – no new sponsorships, but now would be a good time to promote individual and corporate sponsorships

    Special Events – Gala was fantastic! Kudos to the planning committee; we hope to do it every year


    -The speakers are a great representation of the types of students Colerain puts out!


    -Neat to see people who haven’t been here in years looking at old pictures and sharing memories in the hallways


    -People from as far away as CA were here-49 different locations were represented


    -Suggestion was made for next year-a photo booth


    Alumni Report – sent out Chatter newsletter in January to 3400 addresses- 1st mailing since about 2017; received some positive feedback; hoping to get contributions from it; in the future, we may look for someone to sponsor the mailing because of the cost


    AD Report – spring sports underway; congrats to wrestling team


    Spiritwear- meeting soon to come up with 2024-25 designs and new ideas; our printing company sponsored a table and attended gala


    Principal Report- testing after spring break


    Chicago this weekend with full pit orchestra-student performance in school Friday morning

    Program Reports:


    Academic quiz team – JV did very well, varsity around 40% wins, great group of kids with several seniors, so we’ll need to recruit for next year


    Marching Band – had their opening meeting-lots of faces & excitement; bringing invitational back October 19th -hosting bands here on campus, hoping Miami will come do a showcase


    -Orchestra has been working hard on music for Chicago 


    -Wind symphony-received a 1 rating so they’re now invited to state competition


    -Chorus & orchestra & wind symphony going to NYC to sing/play on the Intrepid


    -They’ve put out some cute FB posts with band member spotlights


    Baseball – 3 scrimmages this week, Monday against Mason (#2 in state) & they’ll play again Wednesday; Princeton this week; Tom has high expectations for the team


    -He wanted to put the scoreboard in center field but couldn’t because of electric and gas line, but its hard for pitchers to see the ball against the white school once the ball is hit, so he’d like to maybe put some pine trees in center field to take away white on white; discussion followed about other ideas-might need to think creatively


    -Had two field clean up days-cleaned out lots of garbage & built a bullpen


    -Wants to sell old Colerain baseball t-shirts and hats in concessions-money will go into baseball account


    -Sandi thanked team for all their help with mulching front of school

    Girls Basketball – 28 day dead period is over so girls are starting weightlifting and small group skills program; also starting skills program at elementary schools after spring break; we have 12 players at the middle schools

    -Wanted to know if there will be fundraising opportunities for winter sports? (similar to the opportunities given other groups at the craft show-Sandi will contact Abby-she’s hoping for more equal opportunities for fundraising for all sports (currently heavy in fall)


    Cheerleading – Clinics start next week, tryouts at end of week


    Cross Country – working on scheduling dates for fall meets; touching base with MS to recruit runners; starting to plan big fundraiser meet on Oct. 14th


    Drama – Chicago this weekend-posters hanging in hallways to buy tickets or buy tix at door; full orchestra


    Football – golf outing on May 19th; combine for sophomores and juniors on April 30th-asking Mr. Stoinoff if we should have food for the coaches

    Orchestra –Spaghetti & Strings didn’t get a great response, but LaRosa’s on Compton gave us a good discount & wants to do it each year; working hard on music for Chicago

    Boys Tennis – 17 players-7 on each team with some extras; 1st match against Northwest March 26th; love the resurfaced courts; sign looks great; requested a Boosters membership sign also

    Current Business:

    President Report: a letter was sent to youth football today telling them that we are distancing ourselves


    Sandi received a letter from Walker family-one of their sons plays FB. They run Flag Football Fanatics, a youth flag football league. They have rented our soccer fields for spring season, and would like to pay the rental fee to Boosters & run their funds through us instead of the district. We can’t do this-the district owns the field. Motion made and request was denied


    Meeting Minutes:  Motion made and minutes were approved


    Treasurer Report:  January details-accounts total $247,387.29; $162,000 in checking, $168,000 in money market. Mailing out the Chatter was huge expense (around $8000) and we only got a little over $1000 in donations because of it. Discussion followed about how effective this was- we’ll use it as a learning opportunity going forward. The data doesn’t support the decision-too expensive.


    Membership Report: Sandi spoke with Kathy about membership-the last person she had registered was in September. She used to get notified when someone signed up. 


    Memberships go through PayPal, but so does cardinal corner (through Zettle). When deposits are made, there’s no immediate distinction-Sandi will cross reference Morgan’s membership list v. PayPal list to make sure our memberships list is updated and accurate


    Winter sports didn’t bring in many memberships. Morgan will make a QR code to put at concessions to encourage winter/spring sports families to join

    Concession Report:  Amy reported that the new tennis sign will cost $375 & includes installation. It’s 47x76 inches-replaces old tennis sign


    The side door to concession stand should be closed at all times-officials/workers come in and grab what they want, but a closed door would help deter this with signs about how much food/drink they are allowed to take. The biggest problem is workers not in concession stand (and concession stand workers don’t know the rules). Event manager should be handling those workers, but there isn’t always an event manager. Discussion followed about handing out a ticket to each worker (concession workers write on the back what was taken and put in money box). This will also help with inventory.


    Sandi thinks we should now charge $0.50 per credit card transaction regardless of amount of purchase, instead of charging a minimum. We’ll table the discussion until next month

    Corporate Sponsorships: We’re down $7350 in sponsorships from our goal-most people are donating to Gala instead, but this gives us an open door to contact these people in the summer to do sponsorships for next year. We’ve tripled our sponsorships this year and have received several in kind donations too


    Special Events Report: Craft show has lots of new vendors for this year-exciting! 


    Century Celebration open house-(Open House started last year with Community Partners in Education). It’s a good opportunity to get people in the building-same night as Art Fair with food trucks, Cardinal Corner will be open, Side By Side, etc. Erin is waiting to hear back from AO. The art fair date is set for April 18th. This one will include a history of Colerain presentation in auditorium with memorabilia. She hopes to tie in feeder schools as well.

    Concessions – Too much product walks out of concession stand, so we’re trying to keep better inventory; implementing something new to prevent product loss-use tickets for workers/officials to track food & drink they take, and also put info about how much they’re allowed to take from the concession stand on sign-up genius


    Minimum payments for credit cards-we need to either charge a flat fee, or require a minimum purchase. Discussion followed-ok to charge $.50, nobody complains about current $5 minimum, maybe charge people the processing fee-TBD


    Special Events – Craft show-lots of new vendors for this year-almost 90% sold out for November already!


    Gala-370 tickets sold and we’ve received tons of donations! Let teams know that everyone should sign up for a 1-hour shift so you can still have fun!     Current Business:

    President Report: The Chatter was mailed out to 3400 people and included an envelope for people who want to mail in donations. Cost to us was $7900. 


    There’s talk of forming a committee for a fieldhouse capital campaign. It will be modeled similar to the field turf campaign from 20 years ago- a pledge program where donors can pledge to donate x amount of dollars per year over certain number of years. 


    Great feedback from the gala as far as sponsorships go. Sandi wants to get names of CHS-based companies (parents, alum, etc) to reach out to for more sponsorships. Mindy Fenty (Smith) of Waltech LTD is a $2500 sponsor


    We finally received checks from Coke-$3436 for 2021, -$3964 for 2022 & 2023. Our new contract will not be as profitable for Boosters


    PTA-Boosters have historically paid for t-shirts & after prom whenever we are asked, but we cover different aspects (PTA handles anything during the school day before 3:00 and Boosters handle extracurriculars after 3:00). Sandi has said we won’t continue to help pay for pta things. Discussion followed about how much we have paid-we also get a lot of revenue that they aren’t able to do-they have to come up with their own fundraisers. A suggestion was made to add a budget line item with a definitive amount. We’ll add discussion around it when it comes time to do next year’s budget


    Youth FB-Sandi was contacted by AO-they have concerns about Boosters being business partners with Colerain YFB. Kathy does more paperwork for youth FB more than our other accounts on our dime. We do get concessions revenue from them (they currently owe around $9000). Sandi said there’s a possibility the organization will be ending soon. They’re listed as part of Boosters in AG office so we have some liability. There are several orgs listed as DBA under us that need to be dissolved, but we need to transfer the $9000 to our account first. But do we want to have a youth program to help build up our high school program? Several Colerain kids play for NW Mighty Knights. They should combine into one org under Mighty Knights.

There will be a DJ, unlimited food, beer, wine, cocktails, & 1 bourbon flight. Lots of games/raffle baskets/silent auction. Golden Ticket raffle prize is a week in 2-bed condo on Anna Maria Island; we need everyone to spread the word personally!

    President Report: Social Media-Sandi asked for help on FB & received 3 potential volunteers


    Craft Show-it’s been sold out for a while! Sandi will send out a sign-up genius soon for volunteers-she’d would like everyone to work a shift. Chris mentioned expanding to the career center or outside, however this didn’t work well in the past


    We received a thank you note from librarian (Mrs. Rabold)-she found an old money box from library fines-Sandi counted it and wrote her a check & opened a custodial account through Boosters


    Meeting Minutes:  Motion made and minutes were approved


    Treasurer Report: Money handling-Beth had deposit envelopes printed. Two people should always count the money and fill out envelope. Then it should be put in the lock box. Envelopes will be in all lock boxes, in athletic office with Sherry, and the Boosters mailbox.


    Membership Report: Current total members=122, total donations=$5750; Morgan assigned a point value for each level they’re joining and used them to total points for each team (to incentivize each team to join). She will share the spreadsheet.


    Principal Report: Conferences are this week-paired up with a college & career fair on Wednesday. PSAT is coming up. Homecoming also coming up with the parade on the 29th & dance on the 30th. The last day of 1st quarter is Oct 12th. October conferences will be on the 12th and paired with 8th grade night.


    AD Report: Matt started scheduling next year’s events today-most of fall has been completed


    He found several random accounts (principal/2 band accounts/orchestra, etc) that he didn’t know existed-could we use that money for a project?

    Alumni Report: We recognized a distinguished graduate Friday night (Archie Brown ’78). The hospitality from Amy/Matt/Erin made a good impression on he and his wife. His life is a great example of the quality of education they received from the district and it was a big win for us to get the president of a major bank back here.


    Spiritwear- It’s going really well! We’ve sold $6700 so far which puts us almost in the black. We will have another order in time for Homecoming & will work on new designs to have in time for craft show.


    Corporate Sponsorships: We have some new sponsors-Joe Cappels ($5000 in kind)-they agreed to do landscaping around both entrance signs & maintain & change seasonally. This will start soon. Also,  Northgate Chrysler Dodge Jeep Ram ($2500); LongSchaefer ($1000); Clovernook Healthcare ($500); Maronda Homes ($150-level now discontinued). Sandi has ordered all banners and also included banners for Side by Side and Colerain Chamber of Commerce. She will order a banner for food donations.


    Special Events Report: October 1st-Cornerstone Commemoration-2pm-Colerain Elem. With an Open House from 12-1:30pm. They’re working hard to put together a nice program. We need someone there to take photographs (Molly suggested Lily Diebold) Still working out details with A/V with Matt Fisher. There will be a meeting next Tuesday to do a dry run of event.


    All-Century teams have been selected for boys soccer, close for golf & cross country; football is a challenge but close; swimming & bowling are done; volleyball close to being done. Greg has received great support from alums -they’re thankful to be included.


    This year is the Boosters 75th anniversary-Greg proposed a Boosters recognition night at a basketball game and possibly invite back former presidents/members for a reception.


    Gala-we had a positive 1st meeting. Kerry Coombs will be speaker and we’re working to finalize a date-probably March 2nd. A committee was put together. They’re working to get everything donated so we make a big profit. The administration agreed to let us hold event at CHS with alcohol. The next Gala meeting is coming up on Tuesday, September 26th.


    New Business:   Erin put in a request to fix the front sign. Cost is around $510-Sandi will sign off on it


    Website- Vine Strategies not a great host so we’d love to find someone else to maintain it for us. Jessica will start researching other options.


    Volleyball asked us to donate a raffle basket for Volley For a Cure by end of September. Sandi will get some spiritwear, Matt can do a winter GMC pass, SnoBug will donate

    Capital Campaign- Matt, Sandi, Greg, Beth, Erin met with Darrell Yater, Amy Wells, and Chris McKee. It was a positive meeting-we have the full greenlight on everything. Boosters are the project manager. We’re waiting on Sandi’s final email from lender to approve loan-WesBanco is working with us. They preliminarily say it looks great. They’re looking hard to find grant money to match down payment dollar for dollar. At underwriting there were some questions-1. we haven’t been audited in a long time & we need to produce a financial statement or letter signed from CPA that we’ve had an external audit 2. Debit schedule-they want to know what bills we’re responsible for paying regularly (mainly insurance) 3. Is there a lien on property? We need something in writing from district. Everything seems doable. We’ll save a lot of money doing it ourselves-this brings down our total liability. The down payment is 20%-but a dollar for dollar grant means we only need to come up with 10%.


    Parent Reps-we currently have 5. The sign-up genius for the craft show will include each sport/activity to be responsible for at least a couple spots.


    Thermometer-Molly needs a QR code to add so people can donate-do we want it to go to Boosters account or create a separate account specifically for fieldhouse? Sandi will work on it


    Campus Beautification-Sandi made a FB post asking if anyone would like to help and a few showed up. They walked around and made notes. The main thing discussed was no trash cans outside-they’re priced at $300-800. There used to be 4 out front but they were destroyed. Jessica is getting estimates on the overhang to get it cleaned and repainted. We’re hoping for around $5000; Sandi is working on new trees. Many signs are completely faded-looking into how to repair. Amy will talk to AdPro about new signs-Erin will ask if district will help pay for some.


    Haubner-we’re now in a partnership with WOAC. We want to get our name in front of all the kids who play at Haubner so we made a trade agreement that they can put a sign there at their cost & we put a banner here at our cost-sign has been ordered-Haubner’s has been put up 


    Coke check-AO will now accept a check made to NWLSD and divide proportionately to us & Northwest HS but we’re still waiting on check from Coke. Sandi will keep on it

    Colerain Boosters General Meeting – September 18, 2023

    Treasurer Report – When doing a fundraiser or collecting money, there are now deposit envelopes that need to be used. They’ll be housed in the athletic office and Boosters mailbox. This will be a good way to have everything the same across the board. Reminder to not advertise any fundraisers until approved by Erin or Matt


    Executive Committee Report – Campus Beautification is one of our goals. The Burke’s have been picking up garbage on Sundays. We’ve started the year off strong-tennis courts have been resurfaced! We’re paying 1/3 of the baseball & softball scoreboards, but it takes 18 weeks to get them in. We’re trying hard to make changes & be visible. We’ve done some painting with the volleyball team and Bret Sager has been painting too. We’re still very strong financially-$250,000 in general fund. We added many corporate sponsors-Cappels will install & maintain landscaping at both entrances; Northgate Chrysler Dodge Jeep Ram joined at high level; LongSchaefer CPAs/Clovernook Healthcare/Maronda Homes have all joined as well. We have new banners to honor Side By Side & Colerain Chamber of Commerce & the restaurants who have donated food. We also have a new partnership with WOAC!


    Century Celebrations-we’re planning more century celebrations events such as the Cornerstone Commemoration; all century teams-in process of reviewing candidates for all the teams and we’re close to finalizing selections for some sports. This is a great way to celebrate accomplishments of students who have participated in sports over the years.


    Gala-this will be a couples event on campus in the spring. Kerry Coombs will be the speaker. We’ll be soliciting donors for food & drinks and have a silent auction.

    Concessions – A question was raised about the $10 minimum credit card purchase-we do that because we are charged a percentage for every credit card transaction. We will look into adding a surcharge for lower charges or raising prices.

    AD Report – Boosters has launched capital campaign to build a fieldhouse. More to come! The fieldhouse will benefit every sport & club!


    Spiritwear-
    Cardinal Corner is open Tuesdays/Wednesdays/Fridays. We put in 2nd reorder already! In one month we’ve sold $6700 and we’re almost in the black already!


    Principal Report- Conferences are this week-paired up with a college & career fair on Wednesday. PSAT is coming up. Homecoming also coming up with the parade on the 29th & dance on the 30th. The last day of 1st quarter is Oct 12th. October conferences will be on the 12th and paired with 8th grade night.



    Program Reports:


    Academic quiz team – No report


    Marching Band – They’ve competed twice so far-took 1st place in 1st competition, but fell apart at the 2nd because some equipment failed. They’re selling donuts at football games and it’s going well


    Baseball – They’ve been lifting, conditioning, and doing open fields. The numbers have been amazing-up to 40 kids. Tom is impressed with Coach Good and his program. There’s a good base of guys returning & a nice sophomore class. He’s confident that we’ll have 3 teams. There’s a lot of momentum! He’s thankful for scoreboard!


    Boys Basketball – No report


    Chess – No report


    Girls and Boys Bowling – No report


    Girls Basketball – Currently doing a lot of skills on track. Coach Meyer is amazing-doing free skills sessions for younger girls (25 girls showing up)


    Cheerleading – doing a fundraiser at Main Event at the end of November or Christmas break. They set a date for our end of year banquet at Main Event-got a great deal. They sold tattoos at elementary night and have 100 Years of Cheer shirts available


    Cross Country – 1st meet was super hot and many kids were discouraged with their times, but getting faster. They’re prepping for the all-city meet on 16th


    Drama – No report


    Football – halfway through season and it’s not going how they wanted it to go, but the boys are still grinding and hoping the 2nd half gets better. Coaches are thankful for all the work in the pressbox


    Boys Golf – GMCs start tomorrow-should finish in top 5 this year-several matches coming up


    Girls Golf – started with 2 members, now have 6; GMCs last week-got 12 shots better from 1st day to 2nd 


    Orchestra – No report


    Boys Soccer – started out struggling-Coaches vision of soccer is different from the past-they emphasize different aspects of game than the players are currently used to. They’ve done more team bonding on and off field to unify everyone. They had their first win on Thursday. Selling cookies as fundraiser


    Girls Soccer- No report


    ShowCards- No report


    Softball – Softball meeting tomorrow to get started for fall. They’re conditioning, working with strength coach, and doing open fields & 6 on 1 practices. Big thank you to Boosters for new scoreboards


    Swimming – No report


    Boys Tennis – No report


    Girls Tennis – They have a young team-mostly sophomores still learning. They’re beyond thrilled about the resurfaced courts. They would like to talk to someone about doing a fundraiser


    Track – No report


    Girls Volleyball – All teams won at Middletown on Thursday, They’re doing a lot of passing/hitting drills. Every week the girls are given a word (last week was commitment, this week is apply). The coaches put a lot of effort into the girls.


    Wrestling – Currently doing lifting & conditioning. They just had the annual golf outing on Saturday and raised about $5000. A lot of guys are coming back and hoping to win GMC title again. Last year they took 2nd place. There should also be several state qualifiers this year. Game On! is willing to do a dine to donate fundraiser. Groups could make about $300/400

    President Report: new & old business


    Meeting Minutes:  Motion made and minutes were approved


    Treasurer Report: Beth is getting with Kathy to figure out how to invest money for higher gain, but it’s not as easy as she’d hoped because there are different requirements for non-profits.


    Money handling-Beth has copies of forms she’d like to print on white manila 5x7 envelopes so we’ll have consistency throughout events/people. When depositing money, you should have a bank receipt that matches up to what’s written on the envelope. This will make it easier for auditing. On the envelope, there will be a place for 2 signatures over the seal.


    Membership Report:  Volleyball currently has the most members


    Principal Report: Community connect day went well-benches and picnic tables look great. There were tons of volunteers and the kids worked hard.


    Anything we can do to promote ourselves is good-we recently had 17 records requests from LaSalle. We need to work our way back to being a community school.


    Community partners in education annual back to school bash at Strickers Grove is on August 24th, 6-9pm


    AD Report: Soccer has started. Football had 2 scrimmages. Football opener is Friday at LaSalle. VB has a home opener on Saturday. We’re in need of athletic event workers-ticket scanners, announcers, scoreboard (VB & BB), score book, event managers, etc. If you know of anyone, tell Matt-there’s a quick application and they get paid. Has to be over 18-can’t be a current student. No experience needed. 


    Tennis court update-rain messed up getting it finished but it should be done by Wednesday

    Concession Report:  Used iPads for the first time at scrimmage & it worked well. We have 3 iPads w/stands & 3 squares. Amy is thinking about using one for volleyball. The Square app login has a new password & ID. If you have the Square app, get out of it, go back in under treasurer@colerainboosters.com. Password is colerainHigh2023. 


    Everything for concessions is stocked. Sam’s is out of hamburgers, so Amy will look into buying through GFS. 


    Spiritwear-meeting Thursday with Sports Machine-she’ll bring a check & talk about Friday theme t-shirts. 

     

    Alumni Report: Gala alcohol policy-we need to make a formal request to school board. We have an insurance policy-we pay $455 every 3 years for alcohol liability. It would be helpful to have numbers to give the school board on how much we’re losing at Kolping-they need to see how much goes back to the kids & how much we lose because we hold event at Kolping (we’d have so much more to give back by holding it at school). We have MOU from Oak Hills on the parameters and how they engage with the boosters/school board for their event.


    Corporate Sponsorships: Matt spoke with 3 people who walked in. Molly spoke with a teacher’s husband who owns a scaffolding business. Sherry Enderle contacted Joe Cappel’s to do landscaping/hang sign. Sandi would like us each to have 2 commitments. We have brochures we can use. When you make contact, email everyone so we all know who has been contacted. 


    We have approval to start raising funds for the fieldhouse. Molly created thermometers to track our progress. We need a place on Boosters website to go to for donating specifically to fieldhouse-include overview and pictures of fieldhouse. Greg has list of donors from 1998-2009 campaigns and he suggested we start there and have a brochure. Sandi suggested creating a campaign committee.


    Special Events Report: No report


    New Business:   The process for by-law changes-it has to be presented and voted on at the next meeting. To change the day of our meetings, we’d like to change the bylaws to say that each year we’ll create a calendar of meetings (depending on when school board meetings are, etc), so they won’t always be held on the 3rd Mondays. It will be presented tonight at the general meeting & voted on at next meeting.


    Website improvement-Kari at Vine Strategies-other school Boosters websites are more user friendly. Sandi proposed adding a list of tabs (join, volunteer, meetings, etc). There would be a $650 one-time fee to make these changes. Some think the $250 monthly fee is too much. Greg suggested talking to other schools to see who maintains their websites. We should be open to finding someone else to host & maintain our website. Sandi made a motion to pay $650 now. Matt seconded & motion was approved


    White Oak Athletic Association business partnership-Matt would like to build a relationship with them. We could put a sign up there, and they could put a sign up here-it would be an even exchange. If they won’t, Matt still wants to put a sign up there to let them know “Colerain is here too”.  The current president & vp are Colerain people. We usually charge $700/year to advertise but maybe we could do an even exchange. Matt & Sandi will continue to talk to them about that.


    Erin requested the Boosters pay to replace plexiglass on front entrance sign. Estimate last year was $400 for one side. She’s looking into the cost for both sides.


    Coke check-In February 2022 Coke sent a $4200 check for 2021. The district sent it back and said they can’t cash this check and make payments to Boosters. In June 2022, we received correspondence from Coke asking why we haven’t cashed the check. Jamie wrote a note back saying they need to send checks directly to the Boosters organizations. We should receive more than Northwest High School. Another check is due to us now but we still don’t have a check from 2021. Sandi sent an email over the weekend looking into it. 


    Old Business:  Streamlining the process for coaches requesting funding-coach comes to Matt or Erin and makes a request; they then go to the Boosters to put a formal request together (for a significant amount of money-around $1000?/otherwise Matt & Erin will just approve it). Mike suggested creating an actual form for documentation purposes. Matt will set up a google form. Let’s do it!


    Incentivizing membership-We should do something for each group that reaches 50% membership OR the team with the highest percentage gets a kickback or nice team meal or extra money towards their banquet. We could maybe create tiers for percentages to accommodate for differences in team sizes (ex. Smaller teams need higher percentage). There would be a cutoff date by end of season. 


    Thermometer to show funds-We can order a big one on amazon to hang on weight room. Molly will order or she will look for a place to make the sign for us.


    Jason Helferich-He’s charging us to broadcast FB games-operating costs, web hosting, & internet card to broadcast games. He submits requests 3-4 times a year. He keeps all the equipment. For home games they film the game & broadcast; away games they only show scoreboard. We don’t want to make them mad or get rid of them because they have a good following on youtube and many people watch. We just need to know what we’re paying them for & set up a contract. Sandi will ask how much we’re paying them.

    Colerain Boosters General Meeting – August 14, 2023

    Secretary Report – No report


    Treasurer Report – We need to ratify the proposed budget for this year-the Monte Carlo & sports stag events were deleted for this year because of the 100th year celebration gala in spring; we increased the budget for major projects because we want to spend money! Matt made a motion and it was seconded and approved


    Executive Committee Report – We’ve been discussing projects/events coming up. The next big thing is the cornerstone event on October 1st. The Community Partners in Education back to school bash is August 24th at Strickers Grove. Sports are back in full swing. The Cardinal Corner is back! It’s in the front hallway across from the auditorium. Tracy Borgemenke is the chairperson.


    By-laws amendment-we’d like to change our meeting days. Greg proposed amending the bylaws to establish a calendar each year in conjunction with school district calendar. The proposed amendment will be brought forth at the next meeting for voting & approval. At that point we’ll have an established calendar for 23-24 school year

    AD Report – There’s a request from baseball & softball to replace their scoreboards. The replacement parts are no longer made, so we need new scoreboards. Matt has done research on types of scoreboards/installation fees, etc. It’s cheaper to replace both at same time so they’re requesting about $74,000. Boosters could sell advertisements on them to make profits. Boosters would pay about $24,500; athletics pay other 1/3; baseball & softball will fundraise for other 1/3 (about $12,000 each)

    Marching Band – grateful for Boosters contribution for new drum carriers. Their first competition is the 2nd week in September. They’ve been practicing hard


    Baseball – the kids volunteered at MHE summer camp. They had a dunking booth for alumni & players at kick-off event. They’re excited to get back out into the community because it’s important to be a community school again. Going to have a strong team this year and it will be different than the past. They won’t be taking much time off-weight lifting.


    Boys Basketball – Working on skills training

    Girls and Boys Bowling – Matt reported there is one open position that he’s trying to fill in September


    Girls Basketball – It’s currently dead period so they can’t be in the gym. Girls have been involved in the community connect day & back to school kickoff. They did zumba this weekend-getting creative to keep team connection strong. They’ve been doing lots of weight lifting and would love to have a/c


    Cheerleading – no updates


    Cross Country – 42 runners-more boys than girls, 1st race is August 26th. Recently held their big fundraiser-car wash


    Drama – No report


    Football –numbers are up-the freshman team is huge (50). They’ve started painting senior helmets. They would like to look into the pressbox getting cleaned up.

    Boys Soccer – Coach nick-new coach. They had their first game on Saturday. This is the beginning of something new; team is very competitive

    Softball – It’s currently dead period. They had summer camp-several girls helped out. They helped the WOAA teams-working to keep them in our feeder system. They’ll start up in September with workouts


    Swimming – trying to fill coach position

    Girls Tennis – won 5-0 against Northwest. They have 10 eligible players but need 14 to have a full jv team. They’re very grateful for the new courts!


    Track – no report


    Girls Volleyball – They had a scrimmage Tuesday v. West Clermont; Saturday is home opener v. Withrow


    Wrestling – Golf outing is September 16th. 5 wrestlers had over 70 matches this summer and they’re working hard everyday

    New Business:  Boosters are working to be more of a presence with new t shirts to wear to events. The goal is to attend one of each event this year. We need our presence to help become a community school again-we’re losing too many athletes to other schools. We need to bolster school spirit and this group is vital to that. Let’s grow this group-talk it up & tell success stories
